Logistics & Preparation
Product photography: shipping and packaging
Ensuring your items reach our Madrid studio in perfect condition is the first critical step toward achieving impactful catalog imagery. This guide details the technical process of packaging and reception.
Reading time: 5 minutes
When we execute product photography, the physical state of the object is paramount. A minor scratch, a persistent speck of dust, or a deformation caused by poor transport can force us to spend excessive hours on digital retouching or, in the worst-case scenario, make the shot unfeasible. Therefore, we have established a strict shipping protocol to protect your assets.
The Role of Technical Packaging
The goal of packaging is not simply for the product to "arrive," but to arrive in a state that allows for immediate manipulation. In the logistics environment of Madrid, where courier services are fast but often intense in package handling, protection must be redundant. A poorly protected product may suffer micro-fissures that only become visible under the powerful studio lighting (both impulse and constant light) we use, directly affecting the final quality of your catalog.
Recommended Shipping Materials
To minimize risks, we suggest using materials that absorb impacts and prevent internal movement within the box. We specifically advise against using polystyrene "packing peanuts" for small products, as they can generate static electricity and adhere to delicate surfaces, creating unnecessary cleanup time.
| Material | Recommended Use | Primary Function |
|---|---|---|
| Bubble Wrap | Smooth surfaces / Glass | Direct cushioning |
| Kraft Paper | Void filling | Object immobilization |
| Polyethylene Foam | Electronics / Jewelry | Scratch protection |
| Double-wall Cardboard | General shipping | Structural resistance |
Guidelines by Product Type
Different objects require different treatments. Depending on the fragility and material, please follow these guidelines:
- Textiles and Fashion: Items should preferably be sent in individual protective sleeves to prevent friction between fabrics. If the product requires a specific shape, include tissue paper filling.
- Cosmetics and Glass: Wrap each unit individually in bubble wrap and ensure there is no direct contact between bottles. Use cardboard dividers.
- Electronics and Metals: Use anti-static materials. Polished metal is extremely sensitive to fingerprints and scratches; we recommend wrapping these in soft cloth before applying plastic.
- Bulky Products: Ensure the center of gravity is balanced within the box to prevent tipping during transit.
Shipping to our Madrid Studio
We receive products at our headquarters located in the Centro district of Madrid (Calle de Fuencarral, 142). To optimize logistics, we strongly recommend using courier services with active tracking. If you are based in Madrid, you can coordinate a personal delivery via our contact page.
It is essential that the shipment is made at least 48 hours before the scheduled session date. This allows us to verify that all materials have arrived correctly and to prepare the appropriate lighting set based on the actual dimensions of the product.
Inventory and Documentation
To avoid errors during delivery or loss of components, every shipment must include an internal control document. This document should contain:
- A detailed list of the items sent (quantity and reference).
- Specific handling instructions (e.g., "do not touch surface X without gloves").
- Reference to the accepted quote or order number.
- Contact details of the person responsible for the shipment.
Reception and Return Management
Once a package is received at Batwomanhub, we perform an immediate visual inspection. If we detect evident damage caused by transport, we notify the client before proceeding with the session. Products are stored in our preparation area until the moment of capture.
After the session, we manage the return of the products. The client may choose to pick them up personally at our studio or coordinate a pickup via their own transport agency. It is the client's responsibility to provide return labels if a specific courier service is required.
Quick Shipping FAQ
What happens if a product arrives broken?
We will immediately notify the client via email and attach photographs of the condition upon reception so that a claim can be made against the courier's insurance.
Can I send products via ordinary mail?
We do not recommend this. Due to the value and fragility of the products, we require certified shipments with a tracking number.
